Partnerships & Operations Coordinator

Salary: £30,000 – then £32,000 after probation

Job Role

We are looking for a Partnerships & Operations Co-ordinator to join our small and growing team. This role will be responsible for building partnerships, delivering operational excellence and driving organisational alignment.

The role is Hybrid working mainly from home with occasional working in the office as required by the team and compulsory quarterly two-day staff meetings at our South London office. It also requires a willingness and ability to travel occasionally for meetings, training, and events such as conferences, exhibitions, and study tours.

Objectives of the Partnerships & Operations Coordinator

  • Strategic partnerships
    • Support the delivery of partner-facing activities including meetings, communications, and collaborative events.
    • Maintain proactive and professional relationships with partners and sector stakeholders.
    • Coordinate content for articles, social media, and web platforms that strengthens the organisations profiles.
    • Act as liaison or deputy in partner meetings where required.
    • Ensure outputs (e.g. NHMF Best Practice, event summaries) reflect current regulatory and sector trends.
  • Operational excellence
    • Coordinate logistics for events, training sessions, exhibitions, and meetings, ensuring a smooth delegate experience.
    • Manage bookings, calendars, joining instructions, and materials for all sessions.
    • Collaborate with internal teams and external suppliers to ensure high standards of delivery.
    • Provide administrative support for cross-team projects and initiatives.
    • Create and maintain consistent systems and processes to drive operational efficiency.
  • Organisational alignment and compliance
    • Support implementation and upkeep of policies, procedures, and quality assurance systems.
    • Contribute to Health & Safety, GDPR, ISO, and other compliance-related processes.
    • Help maintain risk documentation including checklists, logs, and process records.
    • Assist with the day-to-day coordination of facilities and supplier management.

Core Duties and Responsibilities

  • Training, Meetings and Events Coordination
    • Plan and deliver training, meetings and events logistics (venue, couriers, catering, AV, attendee communication, materials).
    • Maintain accurate and up-to-date records and calendars across the events and training lifecycle.
  • Partnership Engagement
    • Support the planning and delivery of company and partner projects.
    • Coordinate partnership meetings and events (e.g. NHMF, CIH, NHF).
    • Draft and edit content such as speaker bios, event writeups, and Q&A documents.
    • Help build and maintain relationships with partners and sector bodies.
    • Represent the organisation professionally in communications and events.
  • Meeting and Team Support
    • Provide administrative and coordination support to internal & partner teams.
    • Ensure websites and LinkedIn pages updated with current events, training and partnership activity.
    • Maintain and manage templates, folders, and documentation on SharePoint for repeatable high-quality delivery.
  • Governance, Processes and Quality
    • Support the implementation and monitoring of QA and governance frameworks.
    • Contribute to maintaining risk registers, compliance records, and audit materials.
    • Assist with reporting on H&S, ISO, and internal compliance activities.
    • Build, maintain and improve processes within the team and across the business
  • Facilities, Systems and IT Support
    • Help manage building services and shared office spaces and properties we service, ensuring smooth daily operations.
    • Create and maintain consistent systems (e.g. SharePoint, CRM, Reclaro etc) and processes to drive operational efficiency.
    • Liaise with contractors and service providers for IT and facilities-related issues.
    • Order supplies and support troubleshooting when needed.

  • 1-2 years related to events, training, operations or project management or a related field.

Summary of Terms

Salary £30,000 (subject to experience)
£2,000 increase on successful completion of 6-month probation
Hours Monday to Friday, 9:00 - 17:00 (Flexible 37.5 hrs a week)
(This role requires to occasionally attend meetings/events/training with advance notice)
Holidays 28 days including non-bank holidays occurring between Christmas Day and New Year’s day

Responsible to Strategic Partnerships and Operations Director
Probationary period Six months
Notice period One month (one week during probation period)
Pension provision Housing Software will match pension contributions up to 10% of salary (5% each) to a pension fund of your choice
