Human Resources Coordinator (Part Time)

Salary: £33,000 pro rata – then £35,000 pro rata after probation

Aims of Human Resources Coordinator

To manage and develop the company’s HR, culture, processes and payroll functions, ensuring efficient operations, compliance with employment law, and engagement across the company’s strategic goals as it grows. This role involves overseeing the full employee lifecycle from recruitment to offboarding, working closely with colleagues across the business, helping to keep HR processes running smoothly.

The role involves occasional travel for training sessions, quarterly meetings at our London office. This could include overnight stays.

Objectives - Human Resources Coordinator

  • To ensure the efficient and compliant delivery of all Human Resources operations and administrative processes.
  • To coordinate recruitment, onboarding, and employee lifecycle activities to provide a positive and consistent experience for all staff.
  • To maintain accurate and confidential HR records, systems, and data, ensuring compliance with statutory and organisational requirements.
  • To support the implementation of HR policies, performance management, and employee development initiatives in alignment with organisational objectives.
  • To promote a positive, inclusive, and high-performing work culture where employees feel valued, supported, and engaged and in consistent with the company’s values.

Duties and Responsibilities of Human Resources Coordinator

1. Recruitment and Onboarding

  • Manage end-to-end recruitment processes including:
    • working with the recruiting agencies and negotiating agency fees
    • drafting job descriptions (where necessary with Head of Departments)
    • advertising, shortlisting, coordinating interviews (where necessary with Head of Departments)
    • onboarding
  • Prepare contracts, offer letters, and maintain accurate employee records on BrightHR.
  • Ensure a positive and structured induction experience for all new employees.
  • Support workforce planning aligned with company growth objectives.

2. HR Policies, Compliance and Systems

  • Maintain and update HR policies and procedures in line with current legislation and best practices. (liaising with BrightHR)
  • Ensure compliance with employment law, health and safety, and equality and diversity standards. (liaising with BrightHR)
  • Ensure right-to-work checks, DBS (if applicable), and employee documentation are accurate and compliant.
  • Keep accurate and confidential employee records and documentation.

3. Compensation, Payroll, and Benefits

  • Coordinate and process monthly payroll data accurately, liaising with finance/payroll providers to ensure timely and correct payment of salaries.
  • Ensure accuracy of pay, benefits, deductions, and statutory requirements (e.g., pension, HMRC, SSP, SMP, student and staff loans).
  • Maintain employee payroll records including changes to contracts, hours, and pay rates and ensuring compliance with statutory requirements (e.g., PAYE, NI, and pension autoenrolment).
  • Manage the company' s pension scheme, including:
    • Enrolling eligible employees and managing opt-ins/opt-outs in line with autoenrolment legislation.
    • Liaising with the pension provider and ensuring contributions are processed correctly and on time.
    • Maintaining accurate pension records and supporting annual pension compliance checks.
    • Acting as the main contact for employee pension queries.
  • Manage employee benefits (e.g., holiday, sickness and other perks) and suggest improvements as the business grows e.g healthcare,
  • Support annual salary and benefits reviews through payroll benchmarking and reporting as required.
  • Ensure all payroll and benefits data are processed confidentially and securely, in compliance with GDPR.

4. Performance and Development

  • Coordinate annual performance appraisal, probation reviews, and performance management processes and support managers in delivering constructive feedback
  • Coordinate internal and external training to meet compliance and development needs.
  • Maintain a company-wide training matrix and ensure learning objectives are met.
  • Support career progression planning and internal talent development as the company scales.

5. Employee Relations and Wellbeing

  • Employee Relations and Wellbeing
  • Support positive communication, wellbeing, and staff engagement initiatives.
  • Promote a positive, inclusive, equality, diversity and high-performance culture throughout the company.

6. Culture, Values, and Change

  • Champion the company's mission, values, and behaviours across all HR activities.
  • Support initiatives to strengthen employee engagement, recognition, and wellbeing.
  • Help plan and assist staff events and internal communications.
  • Foster a positive, high-performance culture aligned with the organisation's growth goals.

7. HR Systems and Data

  • Maintain an HR Information System (HRIS) to streamline HR processes and inline with ISO.
  • Produce HR reports and metrics (turnover, absenteeism, training hours, etc.) to inform management decisions.

Other Duties

  • Provide support and back up to the finance team as and when needed, carrying out ad hoc projects and reports the company may ask you to carry out from time to time

Essential

  • Strong organisational skills and attention to detail.
  • Experience supporting recruitment, onboarding, and day-to-day HR processes.
  • Knowledge of HR policies, employment law basic, and compliance.
  • Proficiency with HR systems and Microsoft Office.
  • Excellent communication skills and ability to maintain confidentiality.
  • Positive interpersonal skills and ability to build strong working relationships.

Desirable

  • Experience with payroll, benefits, and pension administration.
  • Familiarity with performance management and employee development processes.
  • Experience with HR reporting and data analysis.
  • Knowledge of employee engagement, wellbeing, and DEI initiatives.
  • Previous experience in a growing SME or family-oriented workplace. • Continuous learning mindset and willingness to grow into broader HR functions.

Summary of Terms

Salary

£33,000 pro rata

£35,000 pa pro rata on success of probation         

Hours Part time 25 hours a week (Flexible TBD) Hybrid, with potential for a full time role in the future
Holidays 28 days pro rata including non-bank holidays occurring between Christmas Day and New Year’s day

Probationary period Six months
Notice period One month (one week during probation period)
Pension provision Housing Software will match pension contributions up to 10% of salary (5% each) to a pension fund of your choice
